The room you book says as much as the deck you present. Here are five common mistakes and how to avoid them.
1. Booking a Room That Undersells You
Before anyone sees your first slide, they have already formed an impression based on the room. A cramped, windowless space with outdated equipment signals that you cut corners. A professional, well-appointed room with large screens, good lighting, and a waterfront view signals that you take your work, and your client's time, seriously.
Choose a room that matches the caliber of your pitch. It is the easiest credibility boost you will ever get.
2. Ignoring AV Capabilities
Nothing derails a presentation faster than fumbling with cables while your client waits. Make sure your room has the right connectors, screens large enough for everyone to see, and a reliable camera if remote participants are joining. Test everything before the meeting starts.
All Axis Space meeting rooms are Zoom-ready with HDMI and Mac screen share. FIRE and IGNITE have 360-degree cameras. There is no excuse for an AV failure.
3. Forgetting the Refreshments
A good cup of coffee and a bottle of water waiting on the table sets a tone of hospitality that your client will remember. It costs almost nothing and changes the entire feel of the meeting. Skip it, and the room feels transactional. Include it, and it feels considered.
4. Choosing the Wrong Size Room
A room that is too big feels empty and disconnected. A room that is too small feels cramped and uncomfortable. Match the room to the group. Six to eight people for a focused session, twelve to fourteen for a full boardroom presentation, and always err on the side of enough space to breathe.
5. No Whiteboard or Collaboration Tools
The best meetings are not one-way presentations. They are collaborative. A whiteboard, markers, and room to think out loud turn a pitch into a conversation. Bring the tools that let the meeting become a working session, and you will leave with a relationship, not just a slide deck.
